FRONT DESK SUPPORT
We are seeking a friendly, organized, and professional Front Desk Coordinator to be the first point of contact for our patients. This vital role combines administrative support with client-facing service to ensure a smooth, welcoming experience from the moment patients arrive to the time they leave.
Responsibilities:
- Greet and check-in patients with warmth and professionalism
- Answer phone calls, respond to inquiries, and direct calls as appropriate
- Schedule and manage appointments using our booking system
- Collect and process payments; handle basic billing and invoicing
- Maintain a clean and organized front desk area
- Assist with intake forms and ensure accurate patient records
- Communicate clearly with practitioners about patient arrivals and needs
- Support the team with light administrative tasks as needed
Requirements:
- Prior front desk, receptionist, or customer service experience (medical, wellness, or spa preferred)
- Excellent communication and interpersonal skills
- Tech-savvy with ability to quickly learn scheduling and payment software
- Organized, detail-oriented, and able to multitask in a fast-paced environment
- Warm, calm demeanor with a patient-first mindset
- Availability to work flexible hours including some evenings or weekends as needed
Bonus Points For:
- Experience with aesthetic or wellness practices
- Knowledge of HIPAA compliance
- Bilingual (English/Spanish) a plus
